The Challenge

In many projects, information is collected through forms, processed in spreadsheets and published across multiple systems. The same data is entered repeatedly into different locations, creating errors, slowing down operations and making information management difficult.

In many cases, data is manually transferred between systems using spreadsheets, email or copy-and-paste workflows. When information changes, updates must be made separately in every location where the data is used.

The Sapluna Operating Model

Sapluna creates a unified information pathway for project data. Information is collected once, enriched and processed throughout the workflow, and then utilized across multiple purposes and channels.

The model can be applied to program information, volunteers, accreditations, exhibitors, performers, service reservations, vendor locations and many other types of project-related data.

The information pathway follows a common logic:

01

Data Source

02

Processing

03

Usage Points

Example Workflow

  1. 01

A registration or application form is created in Sapluna.

  2. 02

Incoming submissions are reviewed from a single view. Applications can be approved, rejected or placed on hold. Automated notifications are sent to applicants based on the decision.

  3. 03

Submitted data is transferred to contact records, roles, workspaces and other relevant data structures.

  4. 04

Approved participants receive access to update and maintain their own information.

  5. 05

Information is enriched and refined during the process while management monitors progress through real-time analytics.

  6. 06

Selected information is published to websites, reports and other channels through a unified process.

Results

  • Less manual data transfer
  • A single trusted source of information
  • Fewer errors and duplicate work
  • Faster updates
  • Higher data quality
  • Clearer responsibilities
  • Better collaboration between stakeholders
  • The ability to use the same information across multiple purposes and channels

The challenge

Information is maintained across multiple systems and repeatedly processed throughout different stages of the project.

How Sapluna helped

Sapluna established a unified information pathway from data collection to processing, management and publishing.

The outcome

Information is entered once and can be managed and utilized throughout the entire project across multiple processes, systems and publication channels.
